How fast should a med spa respond to a new lead?

By The Trailheadbiz team · · 5 min read

The short answer

Aim to reply within 5 minutes, at any hour. Someone who fills out a form for Botox or laser pricing is usually comparing two or three providers at the same moment, and the first one to answer with a way to book tends to get the appointment. If 5 minutes is not possible with your current staffing, an automatic first reply closes the gap.

Why minutes matter more than hours

A new inquiry is at its warmest the moment it is sent. The person has their phone in hand, they have already decided they want the treatment, and they are picking who to book with.

The best-known research on this is a Harvard Business Review study of more than 2,000 companies, The Short Life of Online Sales Leads. Companies that tried to reach a lead within an hour were nearly seven times as likely to have a real conversation with a decision maker as those that waited even one hour longer. That study covered many industries, not med spas specifically, but the pattern fits what front desks see every day: the inquiry that waits until tomorrow morning has often booked somewhere else.

Where med spa leads usually stall

  • After hours. Many inquiries arrive in the evening and on weekends, when nobody is at the desk.
  • During treatments. A two-person front desk cannot answer a form while checking in a patient.
  • Across channels. Leads come from the website, Instagram, Google, and the booking system, and nobody owns all four inboxes.
  • After the first reply. One message goes out, the lead does not answer, and nobody follows up.

What a good first reply says

The first message does not need to sell anything. It needs to confirm you received the inquiry, sound like a person, and make the next step obvious.

  • Use their first name and the treatment they asked about.
  • Give one clear next step: a link to book a consultation, or a time you will call.
  • Keep it to three or four sentences.
  • Skip medical claims and pricing promises. Save those for the consultation.
  • Send it from a real staff name so replies land with someone.

How to hit 5 minutes without hiring

The fix is to let software send the first reply and the follow-ups, and let your staff handle the conversation once the lead answers.

In practice that looks like this: the inquiry is saved to your CRM, a personal text or email goes out within a minute or two with a booking link, a task is created for the front desk, and timed follow-ups go out over the next several days. Everything stops the moment the person replies, books, or opts out.

Every message is written and approved by your team ahead of time, and text messages only go to people who agreed to receive them. This is the first build we recommend on our med spa automation page, because it recovers revenue from leads you already paid to generate.

How to check your own response time

Submit your own website form on a weekday evening and again on a Saturday. Time how long the first reply takes, and count how many follow-ups arrive over the next week. Most owners are surprised by the answer.
